POSITION SUMMARY
The Repertory Theatre of St. Louis (The Rep), now approaching its 60th Anniversary Season, is one of the leading regional theatres in the country, producing mainstage and studio work of the highest caliber while serving tens of thousands of audience members annually across the St. Louis region. Through its mainstage productions, Steve Woolf Studio Series, and extensive education and community programs, The Rep is committed to creating meaningful theatre experiences that reflect, engage, and inspire our community.
This position is ideal for a highly organized, detail-oriented professional interested in arts administration and nonprofit development. The Development Coordinator manages essential functions including gift processing, donor communications, database management, prospect research, and administrative support for the Development team. With a strong focus on accuracy, responsiveness, and relationship-building, this role helps ensure a seamless donor experience and supports the growth of contributed revenue. As part of a collaborative team, the Development Coordinator contributes to strengthening donor engagement and sustaining The Rep’s long-term impact in the community

KEY RESPONSIBILITIES
Donor Relations and Stewardship
- Serve as a welcoming and responsive point of contact for donors, providing timely and professional communication.
- Assist with donor mailings, filing, and general development administration.
- Draft and send donor acknowledgments, stewardship letters, and other correspondence.
- Support the creation of donor recognition lists, impact reports, and benefit fulfillment.
- Assist with donor cultivation and stewardship events, including RSVPs, logistics, and on-site support.
Gift Processing and Database Management
- Work with and support Deputy Director with processing all contributions accurately and promptly, ensuring proper coding, documentation, and reconciliation.
- Maintain donor records in the CRM system with a high level of accuracy and confidentiality.
- Generate reports, mailing lists, and data pulls to support campaigns and departmental planning.
- Partner with the Deputy Director on monthly reconciliation and audit preparation.
Fundraising Campaign Support
- Assist with annual fund campaigns, membership programs, and special fundraising initiatives.
- Support direct mail and email solicitations, including list preparation, proofing, and coordination with vendors.
- Conduct prospect research to support donor cultivation and pipeline development.
- Track campaign progress and donor engagement metrics to inform strategy.
Departmental Operations and Cross-Departmental Collaboration
- Provide administrative support to the Director of Development and broader Development team.
- Maintain organized digital and physical filing systems, campaign calendars, and project timelines.
- Collaborate with Marketing, Artistic, Education, and Production teams to support donor communications and engagement opportunities.
- Assist with grant materials, grant reporting deadlines, and other institutional needs as assigned.
QUALIFICATIONS
- 1–3 years of experience in fundraising, arts administration, nonprofit operations, or related fields.
- Strong written and verbal communication skills with an ability to craft clear, donor-centered messaging.
- Experience with CRM or donor databases (Salesforce or similar preferred).
- High attention to detail, accuracy, and confidentiality.
- Comfort with data entry, reporting, and basic analysis.
- Ability to manage multiple priorities in a fast-paced environment.
- A collaborative spirit and commitment to creating welcoming experiences for all donors and community members.
